About Us:
Marcela Caronti is a motivational speaker who empowers women through storytelling and live events. We seek a proactive Event Coordinator to handle logistics, scheduling, travel, contracts, and on-site execution for speaking engagements around the country.

What You’ll Do:

  • Manage the full lifecycle of speaking engagements for Marcela Caronti: contract negotiation, booking venues, scheduling, and ensuring deliverables are met.
  • Serve as lead liaison with clients, venues, vendors, and Marcela’s team to coordinate event details.
  • Arrange all travel logistics for Marcela and any accompanying staff: flights, ground transport, lodging, per diem, and scheduling.
  • Develop and maintain detailed event timelines, checklists, and budgets.
  • Monitor and report on event expenses; ensure cost controls and adherence to budget guidelines.
  • Prepare and maintain contracts, rider agreements, and service agreements; ensure all terms are executed and files are organized.
  • Coordinate speaker preparation: briefings, equipment check, presentation logistics, and on-site support.
  • Provide on-site or virtual oversight during events as needed: vendor coordination, schedule adherence, issue resolution.
  • After each event: collect feedback, compile event summary, document lessons learned, update process improvements.

What We're Looking For:

  • Proven experience coordinating events (minimum 2–3 years) with ability to manage contracts, vendor relations, scheduling, and travel logistics.
  • Strong organizational skills and attention to detail.
  • Excellent communication skills, written and verbal.
  • Ability to manage last-minute changes and adapt quickly.
  • Experience building and managing timelines, checklists, and budgets.
  • Proficient with event management tools, travel booking platforms, and vendor management.
  • Comfortable working remotely and coordinating across time zones; flexible for event-related evenings/weekends.

What You’ll Do:

  • Plan monthly content calendars aligned to launches, speaking dates, and campaigns.
  • Draft, edit, and publish posts, reels, stories, and short-form video.
  • Coordinate with the Content Creator for captions, blog-to-social repurposing, and asset needs.
  • Manage community interactions. Respond to comments and DMs. Escalate leads and partnerships.
  • Track performance metrics and report weekly and monthly results.
  • Run basic paid promotions. Set objectives, audiences, budgets, and measure outcomes.
  • Create simple assets in Canva or similar tools. Brief designers for advanced needs.
  • Clip and caption speaking footage for short-form content.
  • Maintain a library of approved copy, hashtags, and brand guidelines.
  • Monitor trends and recommend timely content ideas.
